  • You’re in a meeting.
  • Your boss is laying out a plan.
  • And halfway through, you feel it.

𝗦𝗼𝗺𝗲𝘁𝗵𝗶𝗻𝗴’𝘀 𝗼𝗳𝗳.

Maybe the timeline is tight.
Maybe a dependency is missing.
Maybe you’ve seen this exact move backfire before.

You’re not emotional.
You’re not trying to prove a point.
You just… see it.

You add background.
You explain your intent.

You soften the sentence so much 
that the point almost disappears.

𝗔𝗻𝗱 𝘄𝗵𝗲𝗻 𝘆𝗼𝘂 𝗳𝗶𝗻𝗮𝗹𝗹𝘆 𝘀𝗽𝗲𝗮𝗸, 𝗶𝘁 𝗹𝗮𝗻𝗱𝘀 𝗳𝗹𝗮𝘁.

Here’s the part most people miss.

It’s not what you’re saying 
that creates tension.

It’s the signal your words send 
in the first five seconds.

𝗪𝗵𝗲𝗻 𝗱𝗶𝘀𝗮𝗴𝗿𝗲𝗲𝗺𝗲𝗻𝘁 𝘀𝗼𝘂𝗻𝗱𝘀 𝗹𝗶𝗸𝗲 𝗰𝗼𝗿𝗿𝗲𝗰𝘁𝗶𝗼𝗻,
authority feels challenged.

𝗪𝗵𝗲𝗻 𝗶𝘁 𝘀𝗼𝘂𝗻𝗱𝘀 𝗹𝗶𝗸𝗲 𝗮𝗹𝗶𝗴𝗻𝗺𝗲𝗻𝘁 𝗳𝗶𝗿𝘀𝘁,
authority stays intact.

𝗙𝗼𝗿 𝗲𝘅𝗮𝗺𝗽𝗹𝗲.

Instead of jumping straight into the issue, you say:

“I’m aligned on the outcome. 
I’m less sure about the path.”

That one line does a lot of work quietly.

𝗜𝘁 𝘁𝗲𝗹𝗹𝘀 𝘆𝗼𝘂𝗿 𝗯𝗼𝘀𝘀, 
“I’m not fighting you. I’m thinking with you.”

𝗢𝗿 𝗹𝗲𝘁’𝘀 𝘀𝗮𝘆 𝘆𝗼𝘂 𝘀𝗲𝗲 𝗮 𝗿𝗶𝘀𝗸 𝗲𝗮𝗿𝗹𝘆.

Most people say it like a warning.
Which immediately raises defenses.

𝗔 𝘀𝗮𝗳𝗲𝗿 𝘄𝗮𝘆 𝗶𝘀:

“I might be missing something, 
but can I flag a risk I’m seeing?”

Same concern.
𝗖𝗼𝗺𝗽𝗹𝗲𝘁𝗲𝗹𝘆 𝗱𝗶𝗳𝗳𝗲𝗿𝗲𝗻𝘁 𝗲𝗻𝗲𝗿𝗴𝘆.

And when decisions are moving fast 
and you need to slow things down,

𝘆𝗼𝘂 𝗱𝗼𝗻’𝘁 𝗯𝗹𝗼𝗰𝗸 𝘁𝗵𝗲𝗺.

here’s how to spot it

Here’s something most people miss.
Fake listening doesn’t sound rude.
It sounds cooperative.

𝗬𝗼𝘂’𝗹𝗹 𝗵𝗲𝗮𝗿 𝘁𝗵𝗶𝗻𝗴𝘀 𝗹𝗶𝗸𝗲:
“Yeah, but…”
“I get it.”
“That’s normal.”

𝗢𝗻 𝘁𝗵𝗲 𝘀𝘂𝗿𝗳𝗮𝗰𝗲, 𝘁𝗵𝗲𝘀𝗲 𝗳𝗲𝗲𝗹 𝗽𝗼𝗹𝗶𝘁𝗲.
In reality, they often mean the person 
has already moved on in their head.

𝗟𝗲𝘁 𝗺𝗲 𝗲𝘅𝗽𝗹𝗮𝗶𝗻 𝘄𝗶𝘁𝗵 𝗼𝗻𝗲 𝗲𝘅𝗮𝗺𝗽𝗹𝗲.

When someone says,

“Yeah, but…”
they’re not responding to what you said.
They’re responding to what they wanted to say all along.

𝗜𝗳 𝘆𝗼𝘂 𝗽𝘂𝘀𝗵 𝗯𝗮𝗰𝗸 𝗮𝘁 𝘁𝗵𝗮𝘁 𝗺𝗼𝗺𝗲𝗻𝘁,
the conversation usually escalates.
𝗘𝗴𝗼𝘀 𝗰𝗼𝗺𝗲 𝗶𝗻.
Listening goes out.

𝗦𝗼, 𝗱𝗼𝗻'𝘁 𝗮𝗿𝗴𝘂𝗲 𝗼𝗿 𝗰𝗼𝗿𝗿𝗲𝗰𝘁.

Instead, say something like:
“I see you have something to add—please share.”

𝗧𝗵𝗮𝘁 𝗼𝗻𝗲 𝗹𝗶𝗻𝗲 𝗱𝗼𝗲𝘀 𝘀𝗼𝗺𝗲𝘁𝗵𝗶𝗻𝗴 𝗶𝗺𝗽𝗼𝗿𝘁𝗮𝗻𝘁.
It lets them empty their thought first.
Once that happens, 
their mind is finally free to listen.

𝗔𝗻𝗼𝘁𝗵𝗲𝗿 𝗰𝗼𝗺𝗺𝗼𝗻 𝗼𝗻𝗲 𝗶𝘀:
“I get it.”

Most people hear that and feel relieved.

But often, 
it’s said before understanding is complete.

𝗧𝗵𝗮𝘁’𝘀 𝘄𝗵𝘆 𝗮 𝗰𝗮𝗹𝗺 𝗿𝗲𝘀𝗽𝗼𝗻𝘀𝗲 𝗹𝗶𝗸𝗲:

“Awesome. Let’s recap before we move on.”
works so well.

It doesn’t accuse.
It doesn’t slow things down awkwardly.

It simply brings the conversation 
back to shared understanding.

𝗧𝗵𝗲𝘀𝗲 𝗮𝗿𝗲𝗻’𝘁 𝗰𝗹𝗲𝘃𝗲𝗿 𝗹𝗶𝗻𝗲𝘀.
They’re socially intelligent pauses.

𝗧𝗵𝗲𝘆 𝗸𝗲𝗲𝗽 𝗰𝗼𝗻𝘃𝗲𝗿𝘀𝗮𝘁𝗶𝗼𝗻𝘀 𝗽𝗿𝗼𝗱𝘂𝗰𝘁𝗶𝘃𝗲
without calling anyone out
or making things uncomfortable.

When you do good work,
it’s treated as expected.

But the moment something slips,
that’s when feedback appears.

𝗢𝘃𝗲𝗿 𝘁𝗶𝗺𝗲, 𝘆𝗼𝘂 𝗿𝗲𝗮𝗹𝗶𝘀𝗲
only mistakes get noticed.

Which slowly kills motivation.

𝗘𝘅𝗮𝗺𝗽𝗹𝗲:
Deadlines met, no mention.
One miss, long discussion.

They’ll say they’re helping.

Your work gets re-done,
instead of being coached.

So confidence drops.
And ownership disappears.

𝗘𝘅𝗮𝗺𝗽𝗹𝗲:
Emails rewritten before sending.
Decisions checked again and again.

  • They look strong in reviews.

  • You stay “solid.”

𝗜𝗻𝗱𝗶𝘃𝗶𝗱𝘂𝗮𝗹𝗹𝘆, 𝘁𝗵𝗲𝘀𝗲 𝗳𝗲𝗲𝗹 𝘀𝗺𝗮𝗹𝗹.
Together, they form a pattern.

And once you see the pattern, 
you can’t unsee it.

This is why people bring 
𝘁𝗵𝗶𝘀 𝗲𝘅𝗮𝗰𝘁 𝗶𝘀𝘀𝘂𝗲 𝗶𝗻𝘁𝗼 𝗰𝗼𝗮𝗰𝗵𝗶𝗻𝗴.

Not because they want a fight.
But because they want clarity.

They want to know
“Is this really happening?”
or
“Am I imagining this?”

𝗠𝗼𝘀𝘁 𝗼𝗳 𝘁𝗵𝗲 𝘁𝗶𝗺𝗲, 𝘁𝗵𝗲𝘆 𝗮𝗿𝗲𝗻’𝘁.

Once the signs are clear, 
the next step becomes obvious.

  • Not loud.
  • Not emotional.
  • Just precise.

Normally, a calls investment is $𝟳𝟬𝟬.

arguing back doesn’t help.
Here’s what does.

𝗜’𝘃𝗲 𝗯𝗲𝗲𝗻 𝘁𝗵𝗲𝗿𝗲 𝗺𝘆𝘀𝗲𝗹𝗳.

Early in my career,
a review meeting escalated fast.

  • Voice got louder.
  • Facts got blurred.

𝗠𝘆 𝗶𝗻𝘀𝘁𝗶𝗻𝗰𝘁?
Correct everything immediately.

𝗧𝗵𝗮𝘁 𝗼𝗻𝗹𝘆 𝗳𝘂𝗲𝗹𝗲𝗱 𝗶𝘁.

  • I walked out frustrated.
  • And replayed it all night.

𝗬𝗲𝗮𝗿𝘀 𝗹𝗮𝘁𝗲𝗿,
I saw the pattern clearly.

Escalations feed on speed.
And emotional reactions.

𝗦𝗼 𝗜 𝗹𝗲𝗮𝗿𝗻𝗲𝗱 𝘁𝗼 𝘀𝗹𝗼𝘄 𝘁𝗵𝗶𝗻𝗴𝘀 𝗱𝗼𝘄𝗻.

Now I respond differently.

“I want clarity first.”

That single line pauses things.

𝗢𝗿 𝗜 𝘀𝗮𝘆,
“Let’s separate facts from interpretation.”

  • No defense.
  • No counter-attack.

Just structure.

𝗪𝗵𝗮𝘁 𝗰𝗵𝗮𝗻𝗴𝗲𝘀 𝗻𝗲𝘅𝘁 𝗶𝘀 𝘀𝘂𝗯𝘁𝗹𝗲.

  • Tone drops.
  • People listen again.

Nothing magical happens.
But control returns.

𝗧𝗵𝗮𝘁’𝘀 𝘁𝗵𝗲 𝗿𝗲𝗮𝗹 𝘄𝗶𝗻.

Not winning the argument.
Protecting credibility under pressure.

But over time, 𝘁𝗵𝗲𝘆 𝗾𝘂𝗶𝗲𝘁𝗹𝘆 𝗿𝗲𝗱𝘂𝗰𝗲 𝘁𝗿𝘂𝘀𝘁.
Here are 7 of the most common ones.

Here’s the thing.

Most trust problems at work 
don’t come from big mistakes.

They come from small sentences 
we repeat without thinking.

  • Nothing offensive.
  • Nothing dramatic.

Just everyday language 
that slowly changes how people read you.

𝗟𝗲𝘁 𝗺𝗲 𝗲𝘅𝗽𝗹𝗮𝗶𝗻.

Take something like,
“Let’s circle back on this later.”

𝗜𝘁 𝘀𝗼𝘂𝗻𝗱𝘀 𝗿𝗲𝗮𝘀𝗼𝗻𝗮𝗯𝗹𝗲.
But to the other person, 
it often lands as uncertainty.

  • No decision. 
  • No ownership. 
  • No timeline.

Over time, that creates hesitation.
People stop counting on closure.

𝗢𝗿 𝗰𝗼𝗻𝘀𝗶𝗱𝗲𝗿,
“I’ll try to get to it.”

Again, polite.
But “try” leaves space for delay.

So people compensate by following up, 
reminding, or double-checking.

That’s not efficiency.
That’s erosion of trust.

𝗔𝗻𝗼𝘁𝗵𝗲𝗿 𝗰𝗼𝗺𝗺𝗼𝗻 𝗼𝗻𝗲 𝗶𝘀,
“That’s not really my area.”

What people hear isn’t honesty.
They hear disengagement.

And trust weakens 
when responsibility feels avoidable.

𝗘𝘃𝗲𝗻 𝗽𝗵𝗿𝗮𝘀𝗲𝘀 𝗹𝗶𝗸𝗲,
“Let’s not overthink this,”
can unintentionally shut down clarity.

It signals speed over thought.
And when decisions later go wrong, 
people remember who rushed past the details.

𝗢𝘃𝗲𝗿 𝘁𝗶𝗺𝗲, 𝘁𝗵𝗲𝘀𝗲 𝘀𝗲𝗻𝘁𝗲𝗻𝗰𝗲𝘀 𝘀𝘁𝗮𝗰𝗸 𝘂𝗽.

Not as complaints.
But as quiet adjustments 
in how much confidence people place in you.

𝗛𝗲𝗿𝗲’𝘀 𝘁𝗵𝗲 𝗶𝗺𝗽𝗼𝗿𝘁𝗮𝗻𝘁 𝗽𝗮𝗿𝘁.

The fix isn’t about sounding polished.
It’s about replacing ambiguity with clarity.

When you say what you will do.
When you name when you’ll do it.
When you show ownership, 
even if you’re not the final decision-maker.

𝗧𝗵𝗮𝘁’𝘀 𝘄𝗵𝗲𝗻 𝘁𝗿𝘂𝘀𝘁 𝘀𝘁𝗮𝗿𝘁𝘀 𝗿𝗲𝗯𝘂𝗶𝗹𝗱𝗶𝗻𝗴.

“I’ll join only if a decision is needed.”

Then, decision delays.

𝗜𝗻𝘀𝘁𝗲𝗮𝗱 𝗼𝗳 𝘄𝗮𝗶𝘁𝗶𝗻𝗴, 𝗵𝗲 𝘀𝗮𝗶𝗱,
“If I don’t hear back by Thursday, I’ll move ahead with option A.”

𝗙𝗼𝗿 𝗶𝗻𝘁𝗲𝗿𝗿𝘂𝗽𝘁𝗶𝗼𝗻𝘀, 𝗵𝗲 𝗰𝗵𝗮𝗻𝗴𝗲𝗱 𝗼𝗻𝗲 𝗹𝗶𝗻𝗲.

“I’m in the middle of something.
Can we talk at 3.”

𝗛𝘆𝗯𝗿𝗶𝗱 𝗿𝗼𝗹𝗲 𝗰𝗼𝗻𝗳𝘂𝘀𝗶𝗼𝗻 𝘄𝗮𝘀 𝗹𝗮𝘀𝘁.
He said,
“For this project, I own delivery.
You own approval.”

  • That’s it.
  • No confrontation.
  • No long talks.

𝗦𝗹𝗼𝘄𝗹𝘆, 𝗼𝘃𝗲𝗿 𝘁𝗶𝗺𝗲, 𝘁𝗵𝗶𝗻𝗴𝘀 𝗰𝗵𝗮𝗻𝗴𝗲𝗱.

  • Fewer interruptions.
  • Clearer decisions.
  • Less irritation.

𝗧𝗵𝗿𝗲𝗲 𝗺𝗼𝗻𝘁𝗵𝘀 𝗹𝗮𝘁𝗲𝗿, 𝗵𝗲 𝘁𝗼𝗹𝗱 𝗺𝗲,

“I’m calmer.
Work feels lighter.
People respond faster.”

Or a dependency in a plan.
Or a deadline that looked “minor” until it wasn’t.

They feel exposed.
So they start explaining.

  • They talk about timelines.
  • They mention workload.
  • They add context to prove they’re usually reliable.

𝗛𝗲𝗿𝗲’𝘀 𝘁𝗵𝗲 𝗽𝗿𝗼𝗯𝗹𝗲𝗺.

  • The other side isn’t listening for effort.
  • They’re listening for certainty.

𝗜 𝘀𝗮𝘄 𝘁𝗵𝗶𝘀 𝗰𝗹𝗲𝗮𝗿𝗹𝘆 
with a senior leader I worked with recently.

He missed a small 
but visible requirement in a client review.

As soon as it was flagged, 
he went into explanation mode.

  • Why it happened.
  • Who gave which input.
  • What changed last minute.

𝗡𝗼𝘁𝗵𝗶𝗻𝗴 𝗵𝗲 𝘀𝗮𝗶𝗱 𝘄𝗮𝘀 𝘄𝗿𝗼𝗻𝗴.
But the room got quieter.

𝗦𝗼 𝘄𝗲 𝗿𝗲𝘄𝗼𝘂𝗻𝗱 𝘁𝗵𝗲 𝗺𝗼𝗺𝗲𝗻𝘁 
and changed just the language.

𝗡𝗲𝘅𝘁 𝘁𝗶𝗺𝗲, 𝗵𝗲 𝘀𝗮𝗶𝗱:

“I missed this. That’s on me.
I’ll update it today and send a clean version by 5.”

𝗧𝗵𝗮𝘁 𝘄𝗮𝘀 𝗶𝘁.

  • No defence.
  • No story.
  • No emotional clean-up.

𝗔𝗻𝗱 𝘀𝗼𝗺𝗲𝘁𝗵𝗶𝗻𝗴 𝘀𝗵𝗶𝗳𝘁𝗲𝗱 𝗶𝗺𝗺𝗲𝗱𝗶𝗮𝘁𝗲𝗹𝘆.

  • The client relaxed.
  • The conversation moved forward.

Same mistake.
Different signal.

A client of mine, Andrew.
Strong performer. Quiet. Reliable.

Every big meeting followed the same pattern.

  • He did the work.
  • His manager presented it.
  • Leadership praised the manager.

That was a loss of visibility for Andrew.

𝗦𝗼 𝗵𝗲𝗿𝗲 𝗶𝘀 𝗵𝗼𝘄
We fixed the situation.

Here’s exactly what changed.

he sent one short note 
directly to stakeholders.

“Sharing context before 
tomorrow’s discussion.
Happy to walk through 
my part if useful.”

Now leadership 
𝗵𝗮𝗱 𝗵𝗶𝘀 𝗻𝗮𝗺𝗲 𝗯𝗲𝗳𝗼𝗿𝗲 𝘁𝗵𝗲 𝗺𝗲𝗲𝘁𝗶𝗻𝗴.

In conversations, 
he changed his language.

  • No reminders.
  • No pressure.

𝗛𝗲 𝘂𝘀𝗲𝗱 𝘁𝗵𝗶𝘀 𝗹𝗶𝗻𝗲:

“Let me know when this becomes 
the right time on your side.”

𝗢𝘃𝗲𝗿 𝘁𝗶𝗺𝗲, 𝘀𝗼𝗺𝗲𝘁𝗵𝗶𝗻𝗴 𝘀𝗵𝗶𝗳𝘁𝗲𝗱.

The stake holders started reopening the topic.

  • Questions came back.
  • Timelines appeared.
  • Support followed.

Not in a week.
But over time.

“I’m taking this seriously.”

“Can I check one thing first?”

And suddenly the rush slows down.
The spotlight softens.

I want you to picture a real moment.

You’re in a meeting.
A senior asks a question you didn’t expect.
There’s a pause.
All eyes turn to you.

  • You don’t panic.
  • You answer.

𝗔𝗻𝗱 𝘁𝗵𝗲 𝘀𝗲𝗻𝘁𝗲𝗻𝗰𝗲 𝘀𝗼𝘂𝗻𝗱𝘀... 𝗿𝗲𝗮𝘀𝗼𝗻𝗮𝗯𝗹𝗲.

They think,
“I did my job.”
“I answered honestly.”
“I wasn’t rude.”

𝗔𝗻𝗱 𝘁𝗵𝗲𝘆’𝗿𝗲 𝗿𝗶𝗴𝗵𝘁.

"𝘉𝘦𝘤𝘢𝘶𝘴𝘦, 𝘸𝘦 𝘫𝘶𝘥𝘨𝘦 𝘰𝘶𝘳𝘴𝘦𝘭𝘷𝘦𝘴
𝘣𝘺 𝘰𝘶𝘳 𝘪𝘯𝘵𝘦𝘯𝘵. 𝘞𝘩𝘦𝘳𝘦𝘢𝘴 𝘵𝘩𝘦
𝘸𝘰𝘳𝘭𝘥 𝘫𝘶𝘥𝘨𝘦 𝘶𝘴 𝘣𝘺 𝘰𝘶𝘳 𝘸𝘰𝘳𝘥𝘴."

This is what they judge you for:

  • Are you owning the outcome?
  • Are you open?
  • Are you solution-oriented under stress?

Even they don't know it.
They just remember.

First, we changed how he gave updates.
Earlier, he would say,
“I completed the analysis.”

Then we worked on meetings.

Earlier, he would wait.

I started at BuildCorp Commercial in 2011.

Fresh on-site, taking on the basics.

General labouring.

Traffic control.

Cleaning amenities.

But I wasn’t the type to stay in one role.

I kept growing.

Kept earning new qualifications:

Forklift.

Manitou.

Dogman.

OH&S certification.

Early on, I took on the responsibility of being a safety rep.

It was my first step into leadership ensuring a safe working environment and being a voice for the team during toolbox meetings and site discussions.

From there, I progressed into the role of shop steward, representing the workers on-site and acting as a bridge between the builder and the union (CFMEU).

I held that role for over a year, advocating for workers, mediating issues, and driving fair outcomes.

In time, I transitioned back into OH&S, where I spent over two and a half years managing site safety.

It was a role I enjoyed not just for the leadership but because it kept me active.

Whether I was running toolbox meetings, putting up handrails, or operating the materials hoist, I thrived in a role that required movement and problem-solving.

By my final project, I was working with BuildCorp’s sister company, Arc3, as an OH&S rep on a major apartment project in Balwyn.

It was a rewarding end to my time with BuildCorp a chance to lead, solve problems, and work with teams to ensure both safety and success on-site.

Every step of the way, I’ve focused on growth getting a little better every day.

I’m someone who takes pride in hard work, adapting to challenges, and always moving forward.

Which is probably why I decided to start my online fitness business while still working in construction.
