Mapping sales stages in HubSpot isn't just about creating a pipeline. It's about designing a process that guides your team, speeds up deals, and increases conversions.

Start by defining each stage clearly. Know what qualifies a lead to move from one step to the next. Be specific. Vague stages waste time and cause confusion.

Align stages with your *Buyer's Journey* as stages and your sales process as tasks within each stage. Make sure everyone on your team has shared definitions and understanding. Consistency is key.

Use automation to move deals forward. Set entry requirements, rules that trigger updates, notifications, or tasks. Reduce manual work and keep everyone on the same page.

Track progress and bottlenecks. Use HubSpot reports to see where deals get stuck. Fix issues before they become leaks.

Most importantly, review and refine regularly. Your sales process isn't static. Adapt as you learn what works best.

After 2.5 years today is my last day at RevPartners. It'll also be my last day as the community manager with Sprocketeer. Here's a reflection on my journey and what's next.

Three years ago I'd been a sales leader who had been using HubSpot to drive more sales. Being at PerchPeek at the time, we'd hired RevPartners and I got to work with the legendary Brian Kreutz for the first time. I'd immediately become enamored with Revenue Operations and the notion that there's a role where we look beyond sales to grow a business from a holistic lens. 

After campaigning to join the RP team I immediately joined the Sprocketeer Discord and sharpened my tools by posting thoughts, opinions, etc to try to help those who were active. 

In the time since joining RevPartners I've:
- Taken on the role of community manager at Sprocketeer -- being a sounding board for ideas and helping to shape the community voice
- Learned what a GTM motion is
- Earned more HubSpot certs than I want to count
- Created numerous skits and videos that have made me cringe and (hopefully) made others chuckle
- Received a masterclass in project/product management
- Attended inbound 2x

Q: What happens to Sprocketeer?
A: It's never been a secret that being the community manager has been connected to my activity with RevPartners so with my departure from RP I'll also be stepping away from that role. Fundamentally, the community will still exist and I'll still be in there but I don't have answers on where it is going from here. I still hold all the love in the world for the community!

What's the first thing you would teach someone who has no idea what you do but wants to learn so they can be as passionate as you are?

I firmly believe that as admin we need to double down on having an opinion. 

I've been mentoring admin unofficially for around a year now (and will be doing it officially soon thanks to Jennifer Nixon) and too many admin are afraid to offer an opinion that may be wrong. 

You will be wrong sometimes. 

That's okay. 

You are 100% better offering a solution that you feel is the best option over constantly asking the stakeholder "what should I do?". 

Be bold, it's okay to be wrong. 

Understanding diplomacy gies hand in hand with this. 

Did your opinion get vetoed? That's fine.. don't take it personally. 

Know when to push and when to fold but don't be afraid to speak up.

As HubSpot Admin we are going to HAVE to master the use of agents. 

That's why every admin should spend 30+ minutes every month vibe coding. 

Interacting with LLMs is so much more than talking to Chat GPT now and mastering the various ways that LLMs are used is critical to being successful as accounts grow and reqch scale. 

Vibe coding requires the use of a product manager mindset. You cannot build an app with a single prompt request. You will need edits. There will be unintended breaks when you add new features. 

Even with an agent vibe coding an app, the process is iterative just like building out a HubSpot instance. There are always improvements to be made and seeing an agent make an update only for you to realize there's 5 other things you need done in a follow up prompt is so translatable to working with HubSpot agents. 

I have episodes of the #SprocketPod podcast where I'd railed on LLMs in the past because they just couldn't do certain things and now agents CAN do those various things - if you prompt them correctly. 

Mastering your thought process and information translation for LLMs is a requirement to master being a HubSpot admin as you work with more mature accounts.
