The complete Salesforce user deactivation checklist.
(Save this. You'll need it.)

When someone leaves, you can't just uncheck "Active." Salesforce blocks deactivation for specific configurations, and skipping cleanup causes silent failures weeks later.

Here's the full process:

𝗦𝘁𝗲𝗽 𝟭: Freeze first
Setup → Users → Freeze
This locks them out immediately while you clean up.

𝗦𝘁𝗲𝗽 𝟮: Transfer records
Run reports on Accounts, Contacts, Leads, Opps, Cases owned by user.
Setup → Data → Mass Transfer Records

𝗦𝘁𝗲𝗽 𝟯: Fix hard blockers
(Salesforce won't let you deactivate until these are cleared)
→ Workflow email alerts (sole recipient = blocker)
→ Default Workflow User (Setup → Process Automation)
→ Default lead owner / default case owner
→ Custom hierarchy fields (clear the lookup)
→ Customer Portal administrator

𝗦𝘁𝗲𝗽 𝟰: Clean up before it breaks
(Deactivation works, but these fail silently if skipped)
→ Scheduled reports (transfer ownership)
→ Dashboard running user (edit and reassign)
→ Approval processes (reassign pending items)
→ Scheduled Apex jobs (reassign or delete)
→ Public groups and queues (remove user)
→ Chatter groups (transfer ownership)

𝗦𝘁𝗲𝗽 𝟱: Deactivate
Now you can uncheck Active.

Pro tip: Test in sandbox first. Deactivate the user there. Salesforce will throw every blocker at you. Note them, then fix in production.

Miss a step? You'll find out weeks later when a scheduled report stops sending or a deal gets stuck in approval limbo.

Salesforce User Deactivation Checklist

Ask any Salesforce admin: "What percentage of your Accounts have Industry filled in?"

You'll get a shrug. Maybe a guess. 𝗥𝗮𝗿𝗲𝗹𝘆 𝗮𝗻 𝗮𝗰𝘁𝘂𝗮𝗹 𝗻𝘂𝗺𝗯𝗲𝗿.

Here's the problem: 30% of CRM data becomes outdated every single year. If you're not measuring field population rates, you're flying blind on data quality.

And you can't fix what you can't measure.

The good news? You can track this natively in Salesforce. No apps. No custom fields. 𝗝𝘂𝘀𝘁 𝗿𝗲𝗽𝗼𝗿𝘁𝘀.

Here's how:
Step 1: Create a row-level formula
→ Return type: Number (no decimals)
→ Formula: IF(ISBLANK(Account.YourField__c), 0, 1)

Step 2: Create a custom summary formula
→ Display at Grand Total level
→ Formula: CDF1:SUM/RowCount

Step 3: Group your report by the row-level formula
That's it. Now you can see exactly: "20% of Accounts have SLA Expiration Date filled" or "85% of Opportunities have Primary Contact."

Actual numbers. Not guesses.

Once you know, you can prioritize which fields to make required, build data quality dashboards, and finally justify cleanup initiatives with real data.
