Reversals vs Refunds
Why “money coming back” isn’t a single thing

When a payment fails or is undone, it’s often described the same way.
“The money was refunded.”

In payment systems, that distinction matters more than it sounds.

A reversal happens before a payment is fully settled.
A refund happens after the settlement has already taken place.

They look similar from the outside.
Inside the system, they are very different events.

A reversal cancels a transaction while it is still in flight.
Authorization may have occurred, but the funds were never fully transferred.

Because the settlement hasn’t been completed, the original payment is unwound.
No money is moved back.
It’s as if the transaction never finished.

A refund works differently.

By the time a refund is issued, the payment has already settled.
Funds have been moved between institutions.
Balances have been updated.
Records have been finalized.

At that point, the only way to return money is to initiate a new transaction in the opposite direction.

That difference affects timing, reporting, fees, and customer experience.

Reversals are typically fast and invisible.
Refunds take time and leave a trail.

This is why two customers can see very different outcomes from what appears to be the same issue.
One sees a pending charge disappear.
The other waits days for funds to return.

Nothing went wrong in either case.
The payment was just undone at a different stage of its lifecycle.

So, when a customer asks why their “refund” hasn’t arrived yet,
Are you sure you know whether the original payment was ever settled in the first place?
