Key Responsibilities:

•	Create sales lead in FAME (database) for every proposal being requested by the managers, partners and directors with the correct contact, client details and lead owner realtime.
•	Prepare proposals.
•	Managers should prepare job estimation before getting partner’s signature.
•	Update proposal status in FAME once job estimation is done by selecting proposal sent, accepted and rejected.
•	Prepare hard copy for delivery if required by the managers.
•	Includes revision of proposal if required.
•	Once proposal is signed or accepted, managers will request engagement letters.
•	Update engagement status in FAME for every engagement letter prepared by selecting engagement sent, approved and rejected and to ensure realtime update.
•	Prepare hard copy for delivery if required by the managers
•	Includes revision of engagement letter if required.
•	Update proposal and engagement letter status in FAME once client signed engagement letter or proposal is received.
•	Ensure to tag as engagement approved and send a request to secretary to open a project code in FAME.
•	Ensure to save soft copy in the shared folder needed by the accounts team during invoicing.
•	Ensure to have a hard copy for client filing.
•	Ensure to send to other admin support team to save in the server.
•	Open a new client file for all new clients.
•	All client signed engagement letters and proposals shall be filed accordingly.

Admin Support

Gulf Connexions

•	Responsible for ensuring the smooth running of Gulf Connexions & Jobs4Bahrainis one a day to day basis as well as completing a diverse range of administrative tasks.
•	Responsible for coordinating all office operations, while working as a team with the executive support staff, the human resources team, marketing team, facilities team & IT team.
•	Welcome walk in clients or visitors with enthusiasm
•	Ensure that the front desk is clean and tidy.
•	Answer phone calls and forward them to the correct person and take messages for them if the person in charge is not available.
•	Responsible on gathering complete information such contact number, email address, company name and contact person from clients via phone, email or social media in terms of hiring new roles from their company needs in a professional manner.
•	Answering inquiries on candidates about new job roles that are posted on social media.
•	Responsible in advertising new roles on Linked In, Facebook, Twitter, Instagram, Gulf Connexions website, Bayt, Gulf Talent and Naukri.
•	Coordinate with GDN (Gulf Daily News) team on posting new job advertisement and to ensure that the spelling and email address is correct before advertising it on the newspaper.
•	Ensure to change new roles for GDN advertisement in every 3 or 4 days.
•	Creating an artwork using Canva tool for new job roles with job description for Gulf Connexions & Jobs4bahrainis in promoting the company name and to attract more candidates to apply.
•	Assist candidates with regards on the issues on registering the portal for Jobs4bahrainis via chatbox.
•	Ensure to check the Jobs4Bahrainis portal to activate pending candidates in order to apply the new position on the portal.
•	Monitor the email and Instagram account for J4BH to answer inquires and coordinates with the CEO for potential clients.
•	Website maintenance for Gulf Connexions and Jobs4bahrainis.
•	Provide information regarding the services of Gulf Connexions and J4BH

Administration Manager

Luxe Living

•	Act as a frontliner in the furniture shop in greeting customers and assisting them in every inquiry.
•	Serve as a point of contact for suppliers visiting the showroom for the meetings.
•	Prepare day to day sales report and submit it to the CEO.
•	Coordinate with the accounting manager in depositing cash sales and cheques for day to day sales.
•	Updating CEO’s office assistant for the daily sales for layaway payment.
•	Ensure to check every email and reply in every inquiry and must update the general manager and managing director. 
•	Assisting the managing director and general manager by updating day to day sales, informing them with the balance payment of our suppliers and payment for the logistics and clearing team to clear the furniture’s to customs.
•	Responsible in plotting the calendar for the upcoming meetings for the managing director or general manager.
•	Have an open communication with different parts of the team.
•	Creating invoices, quotation and delivery notes for customers and other department under Jasmis Corp., creating telex transfer for supplier’s payment.
•	Filling of important documents per supplier, keeping of records of receipts, daily sales report, and filling of business cards in alphabetical order.
•	Conducts cashiering 
•	Assisting the interior designer for making the showroom more presentable to customers.
•	Shows professional attitude when communicating with customers and clients.
•	Performs administrative tasks such as monthly & quarterly reports and commissions, creating daily time records for every member of the team, photocopying, voucher receipts and other important documents.
•	Updating customer’s logbook for quotation and sending them a quotation through email and WhatsApp.
•	Making a phone call to the forwarding and clearing team to collect the cheque for payment.
•	Creating inventory per supplier to check the sales of every item we have in stock room.
•	Filling of catalogues and brochures in order at the showroom.

- Coordinate and liaise with the background check vendors and manage vendor TAT.
- Coordinate with Rec Ops and with the candidate in the completion of required supporting documents.

CANDIDATE RECEPTIONIST 
- Responsible for managing the initial processing of candidates on site. 
- Control the traffic of candidates at reception area regarding on their schedule assessment. 
- Serve as point of contact in answering queries, clarification, updating status of application and giving a real time feedback for the candidates. 
 SOURCING 
- Conducts phone screening interview to potential candidates for different positions. 
- Filters candidate profile based on business hiring requirements through resume screening and cold calling of applicants from various sources (direct applicants from the company job portal, Jobstreet, Jobs DB, Linked In, Taleo, Applicant Referral Program and Employee Referral Program, Job Fairs and Grad List.
- Schedules candidates for initial interview per recruiter in charge through different accounts. 
- Sending an email report for the manager to ensures to deliver the target number of confirmed candidates per day. 
TEST ADMINISTRATION 
 - Delivers concise and accurate instructions to candidates in every part of the exam. 
- Facilitates and administers Online (E-recruitment), Versant and Technical Support Exam for certain candidates and provides real time feedback that shows on the candidate’s scores. 
- Manage candidate expectation on results. Provide feedback to recruitment operation if there is a lag or long wait time of candidates. 
- Coordinates with the internal IT department to investigate and fix technical issues related to test administration. 
- Maintains positive relationship with the candidates by responding to queries. 
COORDINATION 
- Schedules final interviews for hiring managers 
- Responsible for sending an email invitation for team leaders, hiring manger and recruiters for final interview.
 - Updates candidate application details through the applicant tracking system (Avature) 
- Attends meetings and conferences as required.
