The thing that makes or breaks agencies (and it's not your actual work)

This doesn't get talked about enough:

Client communication isn't just a retention tool—it's the foundation of your entire business development pipeline.

You can be great at what you do and still struggle to keep clients and land new ones if your communication game is weak.

On the retention side:

-Silence feels like neglect, even when you're heads-down doing good work

-Clients can't tell the difference between "bad results" and "good results, poorly communicated"

-Overpromising during sales creates expectations you'll spend the whole engagement managing

On the new business side:

-No documented wins = no proof = no leverage in sales conversations

-Skipping testimonial requests when things are going well means starting from zero with every new prospect

-Case studies aren't just marketing assets—they're what moves fence-
sitters to signed contracts

This all compounds.

Poor communication with current clients leads to weak retention and fewer case studies, which leads to harder sales cycles, which leads to more pressure to close anyone, which leads to overpromising... and the cycle continues.

How we handle this at Beanstalk:

We built communication into the infrastructure so it's not something we have to remember to do.

Example: Every time a meeting gets booked, our Slack bot fires off a notification to the client's shared channel with full context—who the prospect is, their LinkedIn, the call recording, contact info. No delay, no "we'll send you a report next week."

We also share:

Call dispositions so clients know what happened, not just that something happened

Access to recordings so they can hear conversations firsthand

Regular cold email metrics—open rates, reply rates, meetings booked

Clients should never have to wonder what's going on. And when it's time to renew or ask for a referral, you'll find they already understand the value and it's an easy next step.

What if you spent this weekend vibe coding an app and sent 5,000 emails to prospects for it? 

Instead of whatever you were going to do.

2016 mail merge vs 2025: the game board changed

Had a prospect call recently where they kept referencing their 2016 search fund campaigns. Excel + mail merge. 15–17% reply rates. Crude setup, great results.

I get it—I was doing cold email back then too. It was much easier.

Filters were simpler. Volume patterns were less policed. The bar for "this looks like spam" was lower. You could get away with a lot.

They were using those experiences as proof that today's 2–4% reply rates are "wrong." That something must be broken.

But it's not broken. It's a completely different environment.

Since the pandemic, Google and Microsoft have massively tightened spam detection—especially around patterns that look like automated campaigns. Send velocity, domain age, engagement signals, content fingerprinting. They're watching everything now.

The entire arms race that created multi-domain, multi-inbox infrastructure is a direct response to that. We're not overcomplicating things for fun. We're adapting to a platform that got a lot smarter and a lot less forgiving.

If you're skeptical, run an experiment. Try your 2016 mail merge tactic today with the same approach—same volume, same messaging style. You'll feel the difference immediately.

You can't import 2016 reply expectations into 2025 deliverability reality. The game board changed. Your benchmarks need to change with it.

Why small sample sizes lie (and why you need 1,000+ contacts per variant)

Had a prospect call recently where they were deep in analysis paralysis.

They'd sent 100–200 emails, gotten a handful of replies, and were treating the difference between 0 and 3 replies as evidence of catastrophic deliverability failure.

Here's what we told them: under 500 sends per variant, you're in coin-flip territory.

You can get goose eggs purely by chance. One or two out-of-office replies can wildly distort your percentages. A single lucky day can make a bad campaign look good. The data is just too thin to mean anything.

For our client work, we shoot for at least 1,000 contacts per variant before reading too much into the numbers. Only at that level do patterns become statistically meaningful:

"This copy variant is dead"
"This domain is clearly underperforming relative to peers"
"This list segment converts better than that one"
Below that threshold, you're mostly reading noise.

This is also why multi-domain infrastructure doesn't fit every use case. If your total addressable market is 100–200 companies per campaign—hyper-curated, highly targeted—you'll never get the sample sizes needed to optimize at scale. You're playing a different game entirely, and the tooling should match.

Don't over-interpret small numbers. Get to 1,000+ before you start drawing conclusions.
