Under the direct supervision of the Officer-in-Charge, PROC, FRMD:
Provides procurement, and administrative support to a team of Procurement Officers in the acquisition of a wide variety of goods and services. 
Reviews, records, and prioritizes purchasing requests and obtains additional information/documentation as required; determines the availability of vendors and funding sources.
Monitors the status of existing shopping carts and maintains contact with suppliers to ensure timely delivery of goods and services.
Produces solicitation documents (Requests for Quotation) based on the nature of requirements and cost of procurement involved.
Prepares abstracts of offers and compiles data contained in quotations to determine which supplier can deliver the required goods/services at the best terms and lowest costs possible under the guidance of Procurement Officers.
Finalizes purchase orders and contracts for approval by the Procurement Officer.
Assists relevant procurement officers in more complex, higher-value purchasing operations; coordinates the distribution of pertinent documents to concerned parties, ensures appropriate follow-up action, etc.
Maintains relevant internal databases and files; keeps track of any contractual agreements, systems contracts, etc., and informs affected users of contractual rights and obligations.
Performs general administrative tasks, and other duties as assigned.
Experience in handling confidential and sensitive information is desirable, working with SAP, and MS Office Suite.
Performs other related duties as assigned by the supervisor.

Procurement Assistant

As a Procurement Assistant at ITU, my responsibilities can be found in the job description from May 2022. As a Service Desk Technical Specialist at ITU, my duties during my tenure from June 2019 to December 2021 can be found in the job description for ICT Support Technician.

Procurement Assistant 50% - ICT Support Technician 50%

As a member of the Information Services (IS) Department, I provided efficient and effective 1st and 2nd line technical support to ITU staff and delegates, both in person and remotely, addressing a range of IT issues. I logged and tracked user queries and technical problems using the Service Desk Logging and Tracking system, and continuously updated and maintained relevant documentation.

I offered support for hardware and software configurations, installations, and replacements, as well as for the deployment and maintenance of computer infrastructure using SCCM and Intune Autopilot. During ITU conferences, I was readily available to provide technical support as needed.

In addition to technical support, I was responsible for managing IT assets, receiving and inspecting incoming and outgoing equipment, and entering transactions in the automated inventory management system using SAP. I worked collaboratively with the IS team and was willing to undertake any other reasonable duties requested by the hierarchical management team.

I had experience in supporting infrastructure-related migrations, including transitions from Win7 to Win10, Exchange to Exchange Online, Office 2013/2016 to Office 365, and Skype4B to Microsoft Teams.
