CUSTOMER SERVICE
-To liaise with all speakers, delegates, finalists, winners, and sponsors in order to ensure that necessary information is communicated to clients 
-Relationship management of suppliers and ensuring the best value is received from each event

ADMINISTRATION
-Website testing including back-end testing and feedback to the marketing department 
-Daily reporting on leads and tracker
-Creation and management of awards table bookings excel, weekly entries, bookings on P&Ls, and sponsors deliverables
-Downloading and file managing all entries, supporting documents, logos etc. for awards 
-Physical events onsite logistical assistance during judging days, preparation of documentation, supporting judging chair host
-Virtual events onboarding diary management and liaison for speakers and sponsors 
-Liaise with in-house travel agents regarding flights, hotel accommodation, transfers, and all related matters (providing precise and accurate travellers details)

EVENT MANAGEMENT
-Onsite management of broadcasts 
-Application of all event and entertainment licenses, DTCM ticketing barcodes, and communicating with all necessary parties to ensure this is received in a timely manner 
-Venue management, onsite branding, onsite lead, and post-event feedback collation 
-Liaison with the design department to ensure timely and accurate production of all print material and onscreen material
-Proofreading all print materials before dispatch of the final draft to printers and ensuring it has been approved by appropriate parties 
-To attend events on behalf of the company as and when required
-Lead on onsite registration, badging, and ticketing

COMMUNICATION
-To maintain and develop effective internal communication with clients with accounts, design production, and sales department

Event Operations Executive

OPERATIONS
- Organize and run conferences and client webinars 
- Manage communication with event committee, speakers, exhibitors, and sponsors
- Produce correspondence, presentations, records, and spreadsheets
- Handle any event-related queries by phone and e-mail

- Prepare event permit requirements for submission to Department of Tourism and Commerce Marketing (DTCM) and Saudi Exhibition and Convention Bureau (SECB)
- Coordinate with the hotel to confirm set-up, floor plans, menus, drinks reception, and final numbers for the event
- Provide onsite support before, during, and after events (UAE and overseas). Ensure everything is in place during setup
- Organize post-event documents such as certificates, thank you letters, final attendee reports, etc.
- Handle registration of delegates, sponsors, speakers, and other attendees 
- Perform other event-related tasks and responsibilities

MARKETING
- Create and update the event website in CVENT Flex
- Create speaker slides to be posted on social media (LinkedIn, Twitter, Facebook) 
- Manage publishing and scheduling of posts via Facebook Business Suite and Hootsuite
- Prepare and send out marketing communication via email and WhatsApp
- Review and update event marketing collateral
- Prepares the post-event surveys and sends them to attendees after the event
