MINETEK is an innovative and solution-driven company specialising in the engineering, design, manufacture and implementation of conventional and advanced equipment used in the industrial and mining sectors. Responsible for supporting six Project Managers to support the completion of all project deliverables.
 
As Project Administrator, I assist with the planning and coordination of project activities including project scheduling, meetings and supporting site and project delivery teams to manage all key deliverables. Managing relevant contracts and reporting on project variations relating to budgets and scope of works, I build an maintain collaborative working relationships with multiple internal and external stakeholders.
 
Since being appointed in the role, I have streamlined office and administrative processes to support a growing workforce, enhanced budget management processes and created a mapping system for Microsoft Dynamics 365 to better understand the way in which costs are allocated to each project and then worked on completing a job costing analysis for all projects, identifying gaps and working with each of the Project Managers and our accounts team to have these corrected, this resulted in more accurate project reporting for both our team and the Senior Management Team.

Decode Group delivers a range of building and construction projects including high-rise buildings, aged care centres and educational institutions.
 
As Executive Assistant, I was responsible for providing a high level of executive support to the Managing Director, the Chief Financial Officer and the Operations Manager, managing comprehensive scheduling, diary management and coordination of travel arrangements. Also providing administrative support to multiple business units, I coordinate internal and external communications, oversee meeting preparation and action agenda items.
 
Assisting with the development and facilitation of the Cadet Program, I manage the preparation of training materials and relevant communication, in conjunction with the Operations Manager.
 
Supporting the delivery of client projects, I built an architectural display board for client approval and led installation processes and also led a curtain installation project for a display centre, working closely with stakeholders and suppliers.

Internal and external event management, such as our weekly team events, ground breaking events, working closely with our clients to establish their needs and deliver to their expectations. Decode hosted a breakfast event to celebrate the top 10 companies awarded the iCIRT rating with the NSW Building Commissioner, David Chandler as our guest speaker.

Menard Oceania is a specialist contractor for geotechnical and civil engineering activities operating throughout Australasia and the South Pacific region. I was responsible for preparing construction crews to complete projects and provide administrative support to Project Managers, Project Engineers and Site Engineers.
 
As Operations Project Assistant, I was responsible for coordinating site mobilisations for construction crews and providing ongoing support whilst on site. Managing staff training records and onboarding processes, I processed weekly payroll and managed travel and accommodation requirements for FIFO workers.
 
Managing multiple administration tasks, I maintained the MSDS and SWMS register, prepared tenders for submission and raised required purchase orders. I also led the establishment of an employee records database to manage employee data, required medicals and expiration of licences and documentation.

As Senior Project Coordinator and Accounts Receivable, I was responsible providing a high level of project and operational support to three company directors and four Project Managers. Actioning requests and managing correspondence, I oversaw all project documentation, managing scope of works and organising all required project materials.
 
Providing an exceptional level of service when liaising with clients, I managed enquiries, provided required information and rectifying issues in a timely and professional manner.
 
I managed and preparing all client invoices, reconciling payments, following up overdue invoices and investigating non-payments. Overseeing all project budgets, I raised purchase orders for sub-contractor works, completing progress claims, final claims and variations.
 
 
Leading, mentoring and supporting a team of two direct reports, I managed all generalist HR functions including recruitment, training and development and task delegation. I coordinated online inductions for employees and sub-contractors including updating induction registers and obtaining subcontractor licenses and insurance documentation.
