• First person on-site at the shipyard to fully set up/equip the Owner's Rep team, incl. implementing admin processes & document archiving/controls.
• Full responsibility for producing/managing detailed budget (to project completion), cash-flow projections and salary reviews/market analysis, crew charts, cabin arrangements, et cetera.
• Monthly payroll, expenses, credit card & cash reports
• Managing employee / travel / lodging / inventory management
• Liaising directly with all internal and external parties / stakeholders (technical team, exterior/interior designers, RO’s, shipyard, client rep., management company).
• Managing the admin side of the plan approval process in accordance with vessel build contract and specifications and applicable commercial yacht codes.
• Preparing, reviewing, sending comment forms, archiving & maintaining version control, tracking project deadlines and progress (including plan review & inspections).
• Analysis / presentations (ie: comparing bids for Tenders, Crew Insurance, Paint Consultants, Photographers, Suppliers, et cetera).

Project Administrator - 140m private yacht in construction

Day-to-day financial management of 40 ships (including tankers, cable layers, expedition vessels and cruise ships).
• Liaising between owners, suppliers, engineers, Captains, agents, and crew managers.
• Overseeing budgets, reporting and advising on costs, verifying and paying supplier invoices and crew salary allotments.

Vessel Financial Controller / Fleet Manager

Initially small company/role, both of which grew over time.
Built their entire accounting/reporting system, and implemented processes and controls.
This included their cashflow, budgets, cost/project analysis. To start it was for 2 entities and over time new offices were opened, brought into line and this included different reporting standards, consolidating accounts (including multiple currencies), et cetera.

Day-to-day responsibilities included:

• Booking travel/accommodations
• obtaining visas, purchasing supplies
• payroll and employee expenses
• translating technical documents
• negotiating supplier contracts
• producing monthly management reports for CEO and investors
• replacing/repairing company phones/computers, putting together office furniture and other
ad-hoc small maintenance/admin!

• Created and posted Microstrategy reports for daily, weekly and monthly use by 700 stores and internal financial performance tracking.
