¶Conducts regular internal audits and reviews to assess the compliance of departments and individual
payment processor.

Ensure correct coding of invoices to various cost center / AFE.
Service entry sheet creation and cost allocation to the various charge code.
Ensure PO isn't overrun and contract ceiling isn't exceeded. 

Review key business processes and ensure adherence to  internal controls.
Review contract estimates, including proposed materials, production costs, etc and determine whether they seem reasonable and accurate. 

Compare invoices against work orders.
Ensure a three way match in the invoicing process.
 Audit, analyze and process a high volume of vendor invoices. 
Financial reporting 
Review payments and recovered thousands of dollars for company.
Ensure the billed charges are in accordance with the rates and terms of various contracts between parties and adhere to strict guidelines. 
Research and resolve discrepancies on time. 
Review, analyze and audit monthly vendor’s invoices for accuracy, overcharges, credits due, and variances. 
Identify invoice discrepancies and take necessary actions to resolve.
Liaison with Finance to ensure that vendor’s invoicing requirements are met and also that they are within the capabilities of the billing system. 
Report and analyze the causes of invoice queries and working with other departments to reduce the volume of queries generated. 
Compare work orders against standard payment schedule and receiving documents to verify accuracy of items ordered vs. items installed. 
Read computer files or computes figures to determine prices and discounts, following invoices and credit memorandums.

Contract Administrator and Internal control officer

Invoice processing and payment.
Account reconciliation.
Vendor enquiry 
Invoice compliance check and payment troubleshooting.
Run daily GRIR (good receipt-invoice receipt)/Balance sheet asset management report (BSAM) 
Send monthly automated mails for all items above 30 days 
Follow up with vendors for submission of aged invoices 
Track and identify already submitted invoices in the workflow through VIM Analytics for processing 
Perform preliminary MIPS review for aged invoices sent via email before submission to compliance team. 
Daily follow up with dedicated GRIR processor to ensure on-time payment. 
Daily follow up with change order team for timely resolution of requests and issue of revised purchase order to vendor 
Regular follow up with supply chain team for K+N invoices and freight confirmation to facilitate timely change order issuance to the vendor 
Adequate follow up with business line to resolve invoices with work order, SES split error and locked WBS issues 
Engage Law department for review of Letter of Indemnity for invoices with service period above 1 year. 
Ensuring invoices payment conditions matches with PO generated from requisitions/contract

Accounts Payable Specialist

Assist management in identifying and containing compliance risk, compliance monitoring and fostering a compliance culture 
Ensuring control gaps are not breached and in house personnel carry out task with the laydown guidelines. 
Identifying red flags and control violation regarding payment processing. 
Oversee assigned portfolios for compliance with guidelines, internal policies, and regulatory issues. 
Develop, coordinate, and execute various compliance testing and monitoring initiatives.
Conduct periodic internal account/customer reviews to identify potentially suspicious activities. 
Review receipting information on submitted documents for accuracy, statutory, and regulatory compliance. 
Ensure all compliance reviews are being performed timely, adequately and appropriately documented. 
Ensuring face value invoices are processed and on time payment is made to vendors. 
Interpersonal relationship with general managers, Supervisors and processors to ensure quick approval and processing of invoices and credit notes 
Meticulous compliance of invoices to ensure they meet minimum invoice standard. 
Setting up Third party payment guide (TPPG) to ensure subcontractors payment.
