My work mainly revolves around reviewing gender integration efforts and providing guidance in relation to UNEP's environmental work.
•	To review UNEP's publications providing gender mainstreaming guidance whilst taking into consideration socioeconomic factors that further impact upon vulnerable groups.
•	To review UNEP's projects and project concepts at the Project Review Committee to ensure gender is mainstreamed throughout the project cycle, through the use of the Gender Marker tool.
•	To prepare the accountability framework for UNEP’s new Gender Policy and Strategy document.  
•	To upload relevant gender-related articles on UNEP’s website and intranet thus supporting gender mainstreaming and outreach.
•	To provide gender-related input towards various corporate reports including the Programme Performance Report; the Annual Report; the Committee for Permanent Representatives Quarterly Reports and the Programme Budget.
•	To provide substantive input towards internal policy development.
•	To coordinate and support meetings including the Network of Women Ministers and Leaders of Environment; the UNEP Gender Network meetings and various workshops thus fostering gender-responsiveness, outreach and strengthened partnerships.  
•	To train new colleagues on  gender mainstreaming work in UNEP focusing on UNEP's subprogrammes and with further consideration for socioeconomic factors.
•	Maintaining database for UNEP's gender mainstreaming work to ensure easy access to data.
•	Preparing gender-related correspondence, briefing notes and interview material for the Executive Office.
•	To provide guidance and support to colleagues in need of gender mainstreaming guidance in their daily jobs or for specific projects.
•	To keep up to date with the UN gender mainstreaming strategies and initiatives and to replicate them to UNEP's work.
•	To undertake various research on environmental themes in order to gain an in-depth understanding of linkages between gender and the environment.

Programme Asst / Gender Reviewer 

Daily management of the Director’s calendar; organizing video and teleconferences and OfO staff meetings.  

Preparing routine correspondence including letters, memos and emails. Respond to general emails on behalf of the Director, prepare email drafts for the Director's review, transcribe & edit handwritten notes into soft versions including briefing notes & mission reports.

Relay to OfO Senior Managers various written communications from the Director and carry out the necessary follow-up for actions.

Preparation and assembly of background documentation for the Director’s use at meetings including liaison with subject experts for their input when required.  

Researching & downloading information for the Director's use.

Organize official travel for the Director including cash advances; tickets; preparing the programme and travel plan; making hotel reservations; obtaining UN security clearance and accounting for the advance on conclusion of the mission.  Assist in preparation of a mission report and its dissemination. 

Taking down phone & general messages in the Director’s absence and bringing urgent messages to senior managers for action.

Maintaining an efficient and effective filing system both online and traditional hard copy. 

Undertake periodic functions such as:
•	Preparation of the director’s quarterly and annual travel and leave reports to the Office of the Executive Director.
•	Assist in the organization of office functions such as farewell or welcoming parties.
•	Acting as liaison officer and further clarifying day-to-day procedures to colleagues when they are unsure of what needs to be done.
•	Following up with onsite service partners on various matters including Travel, HR and matters pertaining to the Director’s entitlements.
•	Making stationary requests to the service partner via the online database.
•	Recruiting and mentoring interns in administrative roles.

Assistant to the Director, Office for Operations and Corporate Services

•	Managing the Chief’s daily calendar; and at the start of the day brief him on the day's activities.  
•	Assembly of relevant documentation prior to the meetings & conferences. 
•	Using IMIS as a research tool when tracing Project information for instance when updating the ‘Aging Accounts Receivables Reports’.  
•	Assisting with preparation of various financial reports.
•	Taking minutes during section meetings and disseminating to the relevant parties thereafter.  
•	Receiving and screening the Chief’s mail and disseminating accordingly.  Bringing urgent e-mails and general correspondence to the attention of the Chief.
•	Responding to routine enquiries from both internal and external clients.  
•	Maintaining the Chief’s filing (both electronic & paper) in an efficient and logical manner to ensure quick retrieval of information.
•	Assisting in the organization of CSS social events.
•	Organizing travel & mission for the Chief.  Negotiating the most cost efficient but suitable for purpose flights.  Entering the details on IMIS and following up on the process till the issuance of the ticket and completion of the travel form.
•	Assisting with the UNEP website maintenance by uploading vacancies on the UNEP website and to ensure that the vacancies page is up to date.  I also trained a back-up person on the same to ensure business continuity in my absence.
•	Preparation of the CSS organizational chart.  This helped provide a clearer basis for updating reporting lines and section structure.
•	Answering general queries to do with CSS.  Carrying out the necessary research to give the most accurate replies.
•	Assisting with the HR function by downloading job applicant’s information from Inspira, compiling the PHP’s in an orderly manner in line with the summary list and presenting to the HR Officer for further review.
•	Performing various admin duties as and when required.

Financial Reporting / Assistant to the Chief, Corporate Services Section

British High Commission, Nairobi

1. Office & Personnel Management:  Assign and monitor responsibilities and tasks among the accounts team.  Carrying out staff appraisals in order to evaluate and manage staff performance. Recruitment and selection of accounts staff. 
Introduced and implemented the filing system.  
Providing guidance on procedures, policies, audit recommendations & timelines.  Promoting team work and providing mentoring and in house training / orientation for new staff.  Managing internal staff relations and implementing disciplinary procedures.  Monitoring and authorizing annual leave and organizing staff cover during absences.  

2.  Reporting:  Compiling various reports including monthly Financial Reports, Management, Projects, Debtors, Budget Holders & Departmental Reports. Checking report integrity & ensuring timely submission.

3. Budget Management:  Preparing annual funding request for the whole mission’s expenditure.  Updating budget amendments & profile revisions on the Oracle-based budgeting software.   Undertaking full budgetary responsibility for all pay related budgets.  

4. Financial & Resource Management:  Ensuring availability of funds to meet post’s profiled expenditure by carrying out daily bank reconciliations and monitoring balances.  Authorizing payments electronically and ensuring general ledger transactions meet audit recommendations. Counter-checking daily cash book entries and ensuring post savings by following up on internal debtors. 

5. Strategic & Change Management:  Aligning accounts objectives with the Foreign Office's objectives and country business plan. Keeping abreast of changes and implementing systems that enable the team achieve objectives efficiently and  effectively in line with audit recommendations.  Introducing change with minimal disruption to normal routine with regular checks to ensure compliance.	

6. Maintaining good customer relations with the bank and suppliers.

Accountant

Assisting with the allocation of duties and building of job descriptions for the various accounts staff as the section grew.

Carrying out line management duties to the cashier, including monitoring daily performance and carrying out formal evaluation via the Staff Appraisal Exercise.

Carrying out backup duties in absence of Accountant; including, maintaining posts local budget records, monitoring posts official bank accounts, preparing / monitoring funding profile for the financial year, and Line Managing the Assistant Accountants.

Training new staff in the section and especially assisted with training staff during transition periods e.g. when moving / upgrading from one accounting system to another.

Assisting with the creation of an efficient filing system and ensuring that the departmental filing is up to date.

Inputting Accounting Data onto Prism (Oracle Based Accounting package).

Making invoice payments via e-banking.  Preparing weekly bank transfers for officers’ official claims.  

Preparing the monthly payroll for over 130 staff.  Maintaining up to date staff records including sick leave records.

Preparing final remuneration such as terminal gratuity and redundancy pay.

Preparing Annual Payroll Reports for tax purposes and assisting staff complete individual tax returns.

Assisting new staff to open bank accounts and to apply for mandatory statutory documentation.

Deputy Accountant

General running of the cash office-including making payments; receipting monies including bulky visa/consular fees & utility refunds; and daily cash and cheque banking.  

Recording daily transactions into the cash book and balancing it. 

Entering data into dynamics, the accounting software & filing vouchers appropriately.

Acting as bank agent and creating contacts with the bank.

Liaising with suppliers and reconciling their statements.

Preparing subsistence for visitors to post and assisting staff to account for advances taken.

Maintaining debtors’ records and updating the database. Following up internal debtors to account for advances.

Working closely with transport section to maintain mileage and hotel data base to reflect bills that are still pending.

Accounts Assistant / Cashier

Receiving visitors to the High Commission and operating the security access doors.
	
Preparing the 10 drivers duty rota and assigning their daily duties.  Preparing driver’s monthly overtime.  Working closely and holding regular meetings with drivers to discuss grievances and improve working standards.
	
Ensuring the office fleet is serviced and roadworthy.
	
Handling main switch board over 60 extensions.  Manning the Delta radio, public address system and recording messages on the answering machine.
	
Assisting purchase and maintenance of office machinery. Verifying machinery/vehicle invoices for payment.
	
Assisting in preparation of departmental budget.  Preparing mileage & car hire invoices and billing officers.
	
Making hotel reservations for visitors and organising visas for diplomatic staff travelling abroad.
	
Carrying out fire alarm tests and assisting with fire / emergency drills. 

Filing and ordering departmental stationery.
