Running a Zoom workshop soon?

Here are a few things I’m very glad I did yesterday when hosting my largest online AI workshop so far. (21 lovely people, yeah)

And honestly, I was way more nervous about the technology than the teaching.
Even after years of workshops, I still think "will the tech work" or even "what if I sent out the wrong link?"  Crazy stuff like that.

A few things worked really well and I’ll definitely repeat them next time:

✅ Waiting room experience. 
While waiting, participants saw my AI motto and I sent a short message: 
“Happy to see you all. We start in five minutes.” Small detail. Very human.

✅  Two screens. One for Zoom and Edge. The other for the chat, my notes and for faces. Seeing faces while presenting makes a huge difference. 
Talking to slides alone feels.... lonely.

✅ Poll timing. Big lesson learned here.
I couldn't launch my Zoom poll while I was
sharing my full-screen Canva presentation. 
Next time I’ll run the poll before I start my 
presentation.

✅  Pre-written prompts. For the AI demos
I had my prompts ready to drag and drop. That helped a lot, especially since the workshop was in German my written grammar isn't exactly my superpower.

✅  Turn off notifications. I completely closed Outlook so no emails or pop-ups would appear during the workshop. 

The only thing I couldn’t figure out was how to silence FaceTime, so I just hoped my dad wouldn’t call during the workshop.

Shout out to Perplexity AI  which helped me prepare all the technical stuff. Instead of watching YouTube videos or guessing settings, I could quickly find answers and set everything up step by step.

And then a hat tip to Zoom. Their AI summary of my workshop was over the top.  Within minutes I had a transcript, action items and a workshop recap.
