13 Fun Ways 

Learn every Excel error…and how to resolve 👇

Excel errors are really scary 😨 

But with the right tools, you can debug even the biggest error in your excel file.

Let's walk through each one and how to resolve:

⚠️ ###

This may be the easiest error…

it simply means that the data cannot be displayed, because the column is too narrow.

💡Resolution → extend the column

⚠️#REF!

This is a really popular error, and relates to when you have a range in a formula that can no longer be found…

IE it was deleted

💡Resolution → utilize the trace dependents button before deleting something

⚠️  #DIV/0

This is when you try and divide something by 0

💡Resolution → trace the reference in the formula, and revise the denominator from 0.

⚠️  #N/A

This one is similar to #REF!…

only it’s in the context of lookups, and specifically whenever a match can’t be found

💡Resolution → double check the lookup value in your formula to ensure it exists in your lookup range

⚠️  #NAME?

This is whenever you have a typo in your formula, or named range.

💡Resolution → double check the spelling and ensure you’re using the right naming

⚠️  #VALUE!

This one is whenever you have an incorrect character in a formula or reference

💡Resolution → refer back to the range where the data is contained, and remove any incorrect characters

⚠️  #NULL!

This error will show whenever you either have an incorrect data type of number format in a formula, or if excel can’t perform an excel calculation.

A popular example here is when you try to take the square root of a negative number in excel.

Similarly, you may come across this error when using IRR or RATE and no result can be found.

💡Resolution → you can enable iterative calculations, just like you would with circular references.

⚠️  #NUM!

You may come across this error whenever you include a space in a formula instead of a : or a , between 2 arguments.

The resolution is simple - replace the space with a colon or comma

⚠️  #CALC!

Here’s another one that you may not have come across…

Array functions are those that return an array or results rather than a specific result. 

In this case, there’s no answer to return, so you’ll get this error.

💡Resolution → double check your formula and ensure that your search value can be found

⚠️  #SPILL!

This one is pretty straight forward, and is reserved for when you try to utilize a spill function.

More specifically, it’s when your spill function is blocked by a value, and the function can’t SPILL into other cells.

💡Resolution → simply remove the values that are blocking the spill function.

⚠️  #BLOCKED!

This last one I actually never heard of, till one of my readers pointed it out - it’s when you don’t have the permissions to access data, such as a license, connection, or privacy setting.

💡Resolution → check your permissions / licenses.

Intuit QuickBooks released AI agents that promise to turn hours of work into seconds.

I spent weeks testing these agents to find out if they do what they promise to, or if they will just overcomplicate a process that already works.

→ Importing Transactions

When you start a month end close, the first step is importing transactions.

Most of my bank feeds connect automatically, but I still work with one legacy bank that requires downloading and importing a CSV.

You know the routine: download the file, rearrange columns, upload it, and hope QuickBooks doesn't mix up income and expense columns.

Which it usually does, meaning you're deleting and re-uploading everything.

Now you can just upload a PDF of your bank statement.

The agent extracts the data and highlights exactly where it pulled each number from the document.

No more wrestling with CSV files.

→ Categorizing Transactions

Normally I go line by line categorizing transactions.

If a bill matches a transaction amount, QuickBooks usually gets it right.

But if there are two bills for the same exact amount, QuickBooks gets confused about which is which.

For new vendors, I search for history in the system, then Google, then export to CSV and email my client for feedback.

Clients are busy, so it can take days or weeks to get an answer.

The AI agent flags which transactions it's confident about and which ones need review.

That transparency alone is huge.

If there are multiple bills for the same amount, QuickBooks now pulls in the vendor and invoice information from the description to match correctly.

For vendors I've never seen, it searches online and suggests categories while showing its reasoning.

No more black box decisions.

There's a Request More Info button that generates a single magic link instead of spamming clients with dozens of emails.

What used to take days now happens in minutes.

→ Bank Reconciliations

I upload a PDF and QuickBooks extracts the ending balance and statement date automatically.

No typing anything in manually.

It matches transactions and flags the ones that need review, explaining the differences.

The reconciliation that used to take hours? Done in minutes.

→ Spotting Anomalies

The Insights button shows potential anomalies at a glance.

Click once for historical trends, click again for a full PDF explaining what's happening.

This would have saved me hours early in my career.

I've processed hundreds of AP bills in my career.

And I can tell you, most teams are doing it the hard way.

→ What is Accounts Payable?

AP represents the money your company owes to vendors and suppliers for goods and services purchased on credit.

It's one of those critical functions that can either run smoothly or become a complete nightmare 

→ How to Calculate Accounts Payable

The formula is pretty straightforward.

Beginning Balance + New Bills minus Payments equals your Ending AP Balance.

This calculation helps you track what you owe at any point in time

→ How to Forecast Accounts Payable

You need to follow the BASE formula to create accurate AP forecasts.

There are two methods I use with my clients.

Method 1 is calculating Days Payable Outstanding.

Method 2 is tagging each GL account to a payment cadence like Immediate, Net 30, Net 45, or Net 60.

Both work well, it just depends on how detailed you want to get

→ Optimizing Your AP Function

There are some clear dos and don'ts here.

Set up group email addresses for AP communications instead of siloing everything to one person.

Collect vendor agreements and W9 forms upfront, not when you're scrambling to make a payment.

Invite vendors to their own portal for banking details rather than chasing them down via email.

And please, don't blindly trust unverified vendors or process payments manually without proper approvals.

→ Common AP Roles

The AP Clerk handles day to day bill processing and payment execution.

The Controller oversees financial operations and AP strategy.

The Procurement Specialist manages vendor relationships and purchase orders.
