- Managed a direct team of 17 people including Project Managers, Supervisors, Associate Project Managers, and Project Coordinators
- Stood up a process and a team focused on revenue assurance, bringing in an additional $10M of services revenue over the span of a year
- Facilitated process improvement, training, and communication for our Pre-Construction Services division of ~300 employees
- Partnered cross-functionally to solve process issues, develop new ideas, and ensure alignment.

- Managed process innovation initiatives across the enterprise that dealt with cross-functional changes
- Managed an initiative that focused on automating data and documents from our internal portal into our clients portal via an API (application programming interface) saving thousands of resource hours and improving the customer delivery experience

- Led 300-400 projects from application development to construction
- Served as the primary point of contact for our client in 3 markets and became a subject matter expert in the customer's systems.
- Trained internal partners and documented processes to assist with project handoffs.
- Proposed and implemented an Interim Project Manager Process in the event someone had to immediately take over a project.
- Was #1 in data forecasting accuracy for the West Area
- Bridged our communication gaps during the pandemic by taking the initiative to deploy Teams as a communication tool. We launched monthly "Learning Cafes" and "Coffee Chats" to facilitate collaboration and connection.

Project Manager - Client Project Delivery

- Acted as the main point of contact for reporting and data analytics for the West Area Operations Team.
- Identified reporting needs and ensured accurate data was provided while sharing financial information with leadership teams.
- Provided training and communication to end users for revenue recognition policy changes and updates to financial forecast tools.
- Developed a monthly metrics package that established KPIs for targeted roles and enabled clearer insight into project performance with a progress report tracker.

Area Senior Financial Analyst and Interim West Area Program Manager

- Was the primary point of contact in Accounting for our West Area Operations team and department SME in Microsoft Excel
- Prepared documentation and training for drop & swap/tower relocation processes
- Provided reporting to management and area partners to assist with their analysis of our pre-construction revenue recognition process.
- Recipient of the Crowning Achievement Innovation Award - received for building an excel/reporting template that assisted in the creation of sales orders and resulted in an estimated timesaving of 30%.

When it comes to scaling your business and process optimization, leveraging centralized teams and resources as a tool is often overlooked.
 
However, I have been a huge advocate of leveraging these resources to overcome process challenges and inconsistencies.
 
Check out how I leveraged 1 centralized team member to collect $2M of revenue that was previously being neglected:
 
🔍 What: After completing projects, our team reviewed closeout packages to identify discrepancies with installations, often having the contractual right to charge customers for certain issues.
 
🤔 The Problem: Project managers, focused on new projects, struggled to prioritize reviewing closed projects for discrepancies. This led to potential revenue loss and overlooked issues.
 
💡 The Solution: We centralized the review process and created a monthly report highlighting discrepancies. Instead of burdening project managers, we designated a single resource from our centralized support team to handle discrepancies. This resource would create purchase order requests (POR) for chargeable discrepancies and provide project managers with detailed explanations to forward to customers.
 
✨ The Result: By centralizing the review process, discrepancies were no longer ignored, saving project managers valuable time. In just one year, we recouped over $2M in revenue through this streamlined approach.
 
This resource only dedicated a couple hours a month to manage this task.

Creating a comprehensive training program or documenting all processes can feel overwhelming. 

However, starting with something small is better than having nothing at all. 

Here are a few simple items you can create to make the onboarding process smoother and ensure everyone's on the same page:

1. Point of Contact List and Org Chart:  Provide a clear list of who to contact for different functions or collaborations. An org chart can also help new hires navigate the team structure effortlessly.

2. System List and Functions: Outline all the systems the new hire needs access to and detail the basic tasks/functions within each system.

3. Database or Field Lists: Especially for internal systems, provide databases or lists explaining various fields and data inputs. Define terms like forecast dates, milestones, and completion criteria to eliminate confusion and ensure consistency in data inputs. 

These 'cheat sheets' serve as quick references, helping new teammates ramp up quickly and ensuring seamless collaboration within the team. 

They also create a good starting point for you to build a roadmap of other processes that need to be documented.

I loved being a resource for my coworkers.

Most weeks, I would receive some type of IM asking, “do you know where I can find…?” or “how do I do…?”

And it could be a struggle to get them the info they needed when I was busy with meetings and my own work.

Which is why I was always excited when there was a process doc available that I could quickly link to and send their way!

Without a process doc:

- I would have to find time to type out the info or hop on a call with them.

- The other person had to wait for the answers and delay whatever work they were trying to finish.

Having process documentation not only streamlined the workflow but also empowered everyone to find the answers they needed independently, saving time and increasing productivity for the whole team.

This past month, I've made a concerted effort to connect with more ConTech start-ups & businesses.
 
As someone who is focused on process improvement, leveraging the right technology can help improve efficiency, controls, and productivity in your processes.
 
And when it comes to processes, you should probably make sure that they are tailored to ensure you can execute on your contracts.
 
Speaking of contracts, one of the businesses I've had a chance to connect with is Document Crunch. Their goal is to simplify the contract review process and ensure businesses are equipped with the knowledge needed to adhere to their contracts.
 
Although they offer a variety of solutions related to the contract, the one I geeked out the most on was the ability to provide project teams with a playbook to ensure they have the information needed to execute appropriately.
 
Today, they announced a new integration with Procore, enabling users to have contractual information and support right at their fingertips when working within their existing system.
 
I can think of numerous times that I had to search through my files and documents trying to find the right verbiage/references in the contracts that I needed. This integration would have been a game-changer for me in those situations!

In my previous role in the corporate world, one challenge I saw when it came to process documentation was putting the responsibility on the individuals performing the role. 

In the hustle of daily operations, finding time to document processes can be a challenge for busy teams. 

This is why my team and I led efforts to alleviate that burden and assist with putting together documentation and playbooks for our department. 

Here's why outsourcing process documentation could be your game-changer:

1️⃣ Time Constraints: When your team members are swamped with tasks, dedicating time to sit down and document processes often falls to the wayside. Outsourcing allows you to offload this task, freeing up your team to focus on their core responsibilities.

2️⃣ Avoiding Missing Information: Relying solely on current Subject Matter Experts (SMEs) to document processes can lead to gaps in information. What's obvious to them might not be to newcomers. Outsiders can bridge this gap by asking the right questions and capturing essential details.

3️⃣ Ensuring Consistency and Efficiency: If your team has multiple ways of doing the same thing, it can lead to confusion and inefficiency. An outside perspective can identify these variations and suggest opportunities for standardization and streamlining.

4️⃣ Breaking Free from Tradition: The "that's how we've always done it" mindset can hinder progress and innovation. Outsiders bring fresh perspectives and new ideas to the table, helping your team overcome inertia and embrace change.

Many businesses are afraid to create standardized processes because they don’t want to add too much “red tape.”

And I get it. 

I’ve seen so many inefficient processes that add extra steps and slow things down. 

A structured process should make it easier for your team members to know what to do and how to do it. This will lead to more consistent results and improved efficiency. 

However, your processes should not:

- Be created to allow for more micromanagement 

- Require excessive approvals/remove decisions from those that are capable

- Lack the flexibility to adapt to unique circumstances 

What else would you add?

During my first few weeks as a new Project Manager, I sat down with each of my cross-functional departments to learn more about their role in the project.
 
In one of these meetings, I learned that there was a special task that I needed to set on projects that met a certain criteria (<10% of my projects met this criteria).
 
Later that day, I was talking with the PM who was training me and mentioned that task. She was unfamiliar with it. 🤔 
 
We ended up talking to 4 other PMs on the team, and none of them were familiar with it either. 😱 
 
You've heard me talk about the importance of documented processes, but that is only one piece of the puzzle.
 
In this case, the process was documented.
 
And it was included in my initial training.
 
So why did so many of my peers manage to miss this step in the process?
 
The simple answer, technology.
 
Technology is a tool to support your processes, guiding your team through the required steps and adding the appropriate controls to ensure nothing is missed.
 
In this scenario, our PMs had to rely on memory and knowledge to ensure we set this task that occurred on only a small portion of our sites. We were already trying to juggle all of the other aspects of our role.
 
Here are a few ways our systems could have been improved to prevent this issue from happening:
 
- Enabling notifications when these tasks were launched

- Having a dashboard or view that enabled us to see all our open tasks aging on our projects

- Having a symbol/indicator on the project to call out when a rare/special task is open on the project
